Bulk Import of Student Data

Easily enter multiple students by importing data from a comma separated file.


Bulk Import Overview

Students can be added to OrasiLabs by importing student information from a comma separated file (CSV).  To be imported, student data fields must  be in the following order:  First Name, Last Name, Phone Number, Email Address.  The phone number is optional and can be left blank and the following formats are accepted: 

  • +1 555 555 5555

  • 1 555 555 5555

  • 15555555555

  • 5555555555

  • (555)555-5555

The Bulk Import option is available every place that student information can be entered including: 

  • The main Students section available from the left-hand menu 

  • The Students section when creating a class

  • The Students section when editing a class


Importing Your Data

After selecting Bulk Import, you will be prompted to Select CSV File. You can also download a sample import file to use as a guide. 

 

Once your CSV file is selected, the import will inspect the data and display any student records that will be imported.  Any formatting errors will be flagged and must be corrected before importing.  To correct any formatting errors, the data can be edited using the pencil icon or by returning to the CSV file, editing the original data and restarting the upload.  NOTE: Editing the data using the pencil icon, will edit the data to be imported but will not modify the original CSV file.  

 

If the CSV data contains a student email address that already exists in OrasiLabs, the import will label the record as an existing student.  If any data in the CSV file does not match what is already in OrasiLabs, the import will flag the conflict.  In the example below, Albert Einstein is in the CSV file with the email address student1@orasi.com.  That email address is already assigned to an existing student, Albert Smith, in OrasiLabs.  The import flags the difference but does not automatically update the last name of the student from Smith to Einstein. In the example below, if you want the import process to change the last name name to Einstein, you can use the pencil icon to edit the last name to Einstein before selecting Upload

  

NOTE: Since phone numbers are optional, if a phone number is left blank in the CSV file but exists in OrasiLabs, this will not be considered a conflict and will not be flagged.  

 

Once you are satisfied with the data to be imported, select Upload.   The upload process can take up to 1 second per student to complete and therefore large files may take a while to process. 

 

 If any students were not uploaded due to formatting errors, you will be notified of any errors so that you can correct them and try again.  

 

A confirmation will be displayed in the top right corner after the upload is complete.
